Who's Round was not made in response to Covid-19, though clearly there are obvious benefits to the service, with social distancing in place.
In regards to record keeping requirements for contact tracing, Who's Round can provide some potential options that, when combined with the venues operational procedures, may assist. You should approach this with caution however as this is not a core service offering of Who's Round and we can not offer any guarantees on compliance. There are also data protection issues that you need to consider as, unlike a piece of paper with customers names on, this data is in electronic form so has GDPR implications.
By default, Who's Round only shares limited customer data with venues, to fulfil an order. This will include your customers telephone number which along with other order data can be later retrieved using our
Data Export Function. This function is designed principally for understanding what products and services were sold when and where, nothing more.
We are not changing or adding to this function in order to support compliance - its not an area of focus for us. You may consider however, that it is worth using these tools, together with some operational measures, to obtain information along with our
Messaging function.
An example of how this may work is at checkout, underneath where your customer inputs a Table Number, there is a special instruction tab. You could ask your user to input details here when ordering. When you receive the order, you can view the details on the Order Manager or Venue Manager app and if all is fine, carry on with the order.
Below is an image of the Venue Manger app where you can see an example of the data added.
Another example of how this may work, or if your customer does not do the above at checkout, is to use the Messages function. Prior to accepting the order, either via the Venue Manager App or Order Manager, you can input a message asking for relevant details. Your customer would then need to go to the My Account Section, go to My Orders, select the relevant order and then view and respond to the message.
When comfortable you have all details, accept the order and delver in the normal way. Your messages will look something like this:
You can use the data export function to obtain these details (see
guide).
If your customer fills in details at checkout, then you should find the data very easily in column G, like below:
if you use the Messages function, the data will appear in the Message column, right over the end (around column BW). it should look like this:
Your customer will only be able to do this if they have an account with Who's Round, they will not get access to the My Orders section if they order as a guest, so can not use the Message function.
These are workarounds at best, and have other implications to consider both operational and legal (GDPR). It is also not a core service offering of Who's Round, so we are unable give any guarantees in regard to suitably or performance.
