Our Venue Manager App is perfect for managing orders on the go. You can create separate login's and run the app on a device for each waiter / waitress, in additional to running one in the kitchen, the bar or however you chose to operate. You may wish to do more than just manage orders from this app (see this link) but in this article we will just explain how to manage orders.
On opening the app, head to the My Orders tab and you will see a page like this.
There is a menu bar at the top, Pending, In Progress, Done which represent the status of the order. By default when opening you will be on the Pending orders page where you will need to take action.
Pending Orders
Before opening any orders, you can quickly see if the order is for Table Service or Collection by the image type.
Open the order and you will see the Order Details on a page that looks like this:
The first thing to note is the time of the order, highlighted above. Whist most of your orders will be required ASAP, but there is a pre-order option so its worth checking, just to ensure you don't prepare the order to early.
The method of payment will also be shown, including whether it has been paid by card, or is due to be paid by cash - more about payment methods here.
Next the business details are noted; this is relevant if you have access to multiple stores. Below are the customer details which include the name and a phone number, it also includes a notes section if your customer has added any special information at the checkout (this maybe used for Covid-19 related procedures, see this link). In the image above, the order is for collection, so it does not show a table number. if it is a table service order, it will look like this:
Check the order details and then decide to Accept or Reject using the buttons at the bottom of the screen.
If you reject the order, you will be given the option to phone your customer using the number they have provided to Who's Round, and/or the option to write a message in regards to the reasons for rejection. Whilst on the subject of Messages, you can view these on each order using the menu at the top. By default, this will show status changes, i.e. order placed at XX:XX, order accepted at XX:XX but you can also use this to communicate with your customer - see this article.
If you are happy with the order, select Accept, you will be promoted to put in a preparation / delivery time. The order will then move from Pending to In Progress.
In Progress Orders
Any orders accepted but not completed will show in this section. You can open any order to see the order details or messages. The pages for both Table Service and Collection will look like this:
You have the option to print the order to a local printer, or copy it to your devices clipboard to pasting in some other application. The only difference between Table Service and Collection is that that Table Service gives the options as "Completed" and Collection will state "Ready for Pickup".
By Selecting either, it will complete the order and move the status to Done.
A point to note is that on Collection, this will send a notification to the user that the order is ready to collect, but it will show as completed / done on your the app. At present there is not a 3rd step to move from "Ready for Collection" to "Collected".
Done
This section will show your completed orders for information should you need them.
